Team Overview:

The Office team, managed by Human Resources, is located throughout our international offices, specifically in our Las Vegas, London, and Sofia offices. The team is working closely with the Global HR team and takes part in all employee`s related initiatives.

Job Purpose:

The HR and Office Assistant should contribute to the Global HR team and specifically to support the Head of HR in Bulgaria. This role is responsible for all aspects of office management within GAN’s Sofia office. The job holder is expected to proactively ensure that the office is well run and maintained and all health and safety requirements are met.  The employee will also be required to support and assist the Head of HR for all HR related matters, like administration and recruitment.

This role is initially part-time (up to 6 hours/day), moving into full-time later in the year.

Description of Job Responsibilities:

Office Management:

  • Oversee and run all office-related processes.
  • Provide administrative support to general office, including coordinating meetings, travel arrangements, archiving requirements and other office related functions.
  • Manage communications, including incoming and outgoing e-mails and initiatives.
  • Maintain office directories, standards, policies and procedures, including all health & safety requirements.
  • Responsible for the purchasing and management of office supplies and resources.
  • Manage vendor relations for office related services.
  • Coordinate with Building Facilities as required to coordinate vendors, maintenance and office upkeep.
  • Support IT department as required to manage office server and related equipment.
  • Responsible for all company social activities, including payday drinks, annual party and acts as go to person for all London employees.
  • Management of budgets for the company office and social activities.
  • Liaising with other GAN offices to ensure consistency and support remote offices, as required.

HR Responsibilities: 

Recruitment and On-boarding

  • Provides administrative support to managers & Head of HR with regard to any recruitment activity and resulting offers of employment like scheduling interviews, sending a feedback and keep good relations with the local recruitment agencies.
  • Oversees on-boarding process.  Including: oversees effective background screening; ensures all on-boarding documentation is completed for each new hire; submits information to Finance, HR and IT for payroll, systems updates/requirements.
  • Ensures all employees are aware of established policies and procedures.

Compensation & Benefits

  • Assists with benefits administration for any company benefits and employee insurance policies.
  • Works in conjunction with benefits broker and Head of HR to ensure benefits program remains affordable and appropriate to employee needs.


  • Collects and stores all invoices, paid and sick leaves.
  • Assists in any HR procedures and policies.
  • Contributes to any HR projects.


  • HR or administrative experience at least 2 years.
  • Bachelor or Master degree in Business administration or HR will be a strong advantage.
  • Excellent written and verbal communication skills.
  • English level – B2.
  • Good Microsoft office skills.
  • Resilient, resourceful, flexible and agile with a strong focus on delivery.
  • Organised and detail conscious with excellent administration skills.
  • Able to work autonomously and use initiative and be a real self-starter.
  • Ability to thrive in a fast-paced, deadline-driven environment.
  • Self-motivated and solution-oriented.
  • People oriented and able to create good team relations.
